Version 2.0 | November 1, 2025
Table of Contents
1. Why You Need Backups
Critical: Data is Stored Locally
PN Web OS stores all your data locally in your browser. If you clear browser data, switch devices, or experience a browser crash, your data is gone forever unless you have a backup.
Common Data Loss Scenarios
- Clearing Browser Data: Accidentally clicking "Clear browsing data" wipes everything
- Browser Updates: Rare but possible data corruption during updates
- Switching Devices: Your data doesn't follow you to a new computer
- Operating System Reinstall: Complete data loss when reinstalling OS
- Computer Theft/Loss: Hardware loss means data loss
- Hard Drive Failure: Physical drive failure destroys local data
What You Can Lose
- All your files and documents
- Folder organization and structure
- Account settings and preferences
- Application configurations
- Command history
- Everything you've created in PN Web OS
Bottom line: If you value your data, you MUST create regular backups.
2. How the Backup System Works
Overview
PN Web OS uses a KeePass-style encrypted backup system. Your entire workspace—files, settings, account data—is encrypted using military-grade encryption and exported as a single text file that you can store anywhere.
What's Included in Backups
| Included ✅ | Not Included ❌ |
|---|---|
| All files + complete contents | Browser bookmarks |
| Complete folder structure | Browser extensions |
| File metadata (dates, sizes) | Browser passwords |
| Account information | Website login sessions |
| Settings and preferences | Browser cache |
| Application data | Downloaded files (outside Web OS) |
| Command history | - |
Backup File Format
- Format: Plain text file (.txt)
- Naming: pn-webos-backup-{ username}-{ date}. txt
- Size: Approximately 110-130% of your actual data size
- Encryption: AES-256-GCM with PBKDF2-SHA256 key derivation
- Portability: Works across all browsers and operating systems
3. Creating a Backup
Step-by-Step Instructions
- Open Settings App
Click the Settings icon (⚙️) in your taskbar or application menu
- Navigate to Data Management
Click on "Data Management" in the left sidebar
- Click Export Encrypted Backup
Find the "Export Encrypted Backup" button (⬇️ download icon)
- Enter Your Password
Enter your PN Web OS account password (used for encryption)
- Click Export Backup
Click the button to start the export process
- Wait for Processing
Depending on data size, this takes 1-60 seconds
- Save the File
Your browser will prompt you to save the .txt file—choose a safe location
- Verify File Size
Check that the backup file size matches expectations (see sizing guide below)
Backup File Sizing Guide
| Your Data Size | Expected Backup Size |
|---|---|
| 1 MB | ~1.2 MB |
| 10 MB | ~12 MB |
| 50 MB | ~60 MB |
| 100 MB | ~120 MB |
| 500 MB | ~600 MB |
⚠️ Important: Verify Backup Size
If your backup file is only 20-30 KB but you have megabytes of data, something went wrong! Try a hard refresh (Ctrl+Shift+R or Cmd+Shift+R) and export again.
4. Restoring a Backup
Step-by-Step Instructions
- Open Settings App
Click the Settings icon (⚙️) in your taskbar
- Navigate to Data Management
Click on "Data Management" in the left sidebar
- Click Import Backup
Find the "Import Backup" button (⬆️ upload icon)
- Select Your Backup File
Browse to your backup .txt file and select it
- Enter Password or Recovery Phrase
Enter the password you used when creating the backup (or your 12-word recovery phrase)
- Click Import Backup
Click the button to start the import process
- Wait for Completion
Import takes longer than export—be patient, especially with large backups
- Log Back In
After import completes, you may need to log back into your account
- Verify Your Data
Check that all your files, folders, and settings are restored correctly
Import Time Estimates
| Backup Size | Estimated Time |
|---|---|
| <1 MB | 2-5 seconds |
| 1-10 MB | 5-15 seconds |
| 10-50 MB | 15-45 seconds |
| 50-100 MB | 45-120 seconds |
| 100-500 MB | 2-5 minutes |
| >500 MB | 5-10+ minutes |
💡 Tip: Be Patient
Large backups can take several minutes to import. Don't close the window, switch tabs, or assume it's frozen—let it complete. Close other tabs to free up browser resources.
5. Best Practices
Backup Frequency Recommendations
| Usage Pattern | Recommended Frequency |
|---|---|
| Daily active use | Daily or after major changes |
| Weekly use | Weekly |
| Occasional use | After each session |
| Critical projects | Immediately after completing work |
The 3-2-1 Backup Rule
- 3 copies: Keep 3 total copies of your data (1 original + 2 backups)
- 2 different media types: Store on 2 different types (e.g., USB drive + cloud storage)
- 1 off-site copy: Keep at least 1 backup off-site (e.g., cloud storage)
Recommended Storage Locations
| Location | Pros | Cons | Use For |
|---|---|---|---|
| USB Drive | Offline, secure, portable | Can be lost/damaged | Primary local backup |
| Cloud Storage | Accessible anywhere, safe | Requires internet | Off-site backup |
| NAS | Fast, local network | Setup required | Home/office backup |
| Always accessible | Size limits (~25 MB) | Small backup copies |
Backup Naming Convention
Use descriptive names that include:
- Date (YYYY-MM-DD format)
- Purpose or milestone
- Version if multiple per day
Examples:
pn-backup-2025-11-01-before-project-alpha.txtpn-backup-2025-11-01-quarterly-q4.txtpn-backup-2025-11-01-before-upgrade.txt
Version Control Strategy
- Daily backups: Keep for 1 week
- Weekly backups: Keep for 1 month
- Monthly backups: Keep for 1 year
- Major milestone backups: Keep indefinitely
6. Security & Privacy
Zero Knowledge Architecture
Your backups are encrypted on your device before export. PN cannot access your data—ever. Only you have the keys (your password and recovery phrase).
Encryption Specifications
| Component | Algorithm/Method |
|---|---|
| Encryption Algorithm | AES-256-GCM (military-grade) |
| Key Derivation | PBKDF2-SHA256 |
| Iterations | 600,000 (slows brute-force attacks) |
| Encryption Layers | Dual (password + recovery phrase) |
| Data Integrity | Authentication tags (GCM mode) |
Cloud Storage Safety
Yes, it's safe to store your encrypted backups in cloud storage! Because your backups are fully encrypted with strong encryption, they're safe to store anywhere:
- Dropbox
- Google Drive
- OneDrive
- iCloud Drive
- Any file hosting service
Even if the cloud provider is breached, your data remains secure. Without your password, the backup is just encrypted gibberish.
Password Recovery Options
| Scenario | Solution |
|---|---|
| Forgot password | Use your 12-word recovery phrase |
| Have password | Use password normally |
| Forgot both password AND recovery phrase | ❌ Data is permanently lost (by design) |
⚠️ Critical: Save Your Recovery Phrase
Write down your 12-word recovery phrase on paper and store it in a safe place. This is your ONLY way to recover your backup if you forget your password. There is no backdoor or password reset—this is intentional for your security.
7. Common Usage Scenarios
